Switching IT providers

Switch IT providers without losing control of your systems.

If changing providers is on your mind, the relationship has probably been failing for a while. Employees wait too long, recurring problems return, security answers remain unclear, or there is no practical technology plan. Pronto Tech plans the transition, coordinates the handoff and keeps your team informed while the business continues operating. You remain in control of the decisions, accounts and information your business depends on.

When the relationship is no longer working

You should not have to manage the IT company.

You expect reported problems to be acknowledged, work to begin and communication to continue until your employee can work again. You also need to understand whether your security controls are adequate, what technology decisions are coming and what your monthly service includes. Those are reasonable expectations from an IT provider.

Support that stalls

An issue is reported, but acknowledgement, progress and next steps are unclear while an employee remains unable to work.

Problems that return

Individual tickets close, but the underlying cause is never addressed and the disruption keeps coming back.

No plan for the future

Technology decisions happen only when something fails, leaving security, replacements and growth needs unplanned.

A practical transition

What Pronto Tech does during a change.

Understand the environment

We review locations, employees, devices, Microsoft 365, business applications, security controls, backups, vendors and current documentation.

Build the transition plan

We identify access requirements, business-critical dependencies, risks and the order of work before making changes.

Coordinate the handoff

After you approve the switch and notify your current provider, Pronto Tech becomes the day-to-day point of contact for the handoff. We request and organize credentials, documentation and vendor information, follow up on missing items and involve you when a decision or authorization is needed.

Stabilize support

We establish the help-desk path, confirm critical systems and address immediate gaps so employees know where to get help.

Verify security and recovery

We review privileged access, protection settings, backups and recovery dependencies and prioritize what needs attention.

Create the next-step roadmap

Once the environment is understood, we document priorities for reliability, security, replacements and business growth.

Keep the business in control

Your business keeps control of its technology.

Your domains, Microsoft 365 tenant and primary administrative access remain under your company’s control. We maintain current documentation and establish secure emergency access so your business does not depend on one provider being reachable. If you ever leave Pronto Tech, we coordinate an orderly handoff of the information and access needed by your next provider.

During transition planning, we identify the accounts and records the business depends on and document what must be transferred or confirmed. The plan may include:

  • Domain and DNS registration access
  • Microsoft 365 tenant and administrator access
  • Network, firewall and wireless credentials
  • Device, server and cloud documentation
  • Backup and recovery information
  • Software vendors, licensing and renewals
  • Security tools and administrative roles
  • Open projects, known issues and support history

Communication throughout the change

Your team should know what is happening.

Responsive IT support means acknowledging the problem, beginning the work, communicating clearly and staying engaged until your employee can work again.

That same approach guides a provider transition. We establish points of contact, identify decisions that require your input and communicate risks or missing information as they arise.

What we need from you

You approve the switch. We handle the handoff.

After you authorize the transition and notify your current provider, Pronto Tech takes over the day-to-day communication and discovery. We request the access, documentation and vendor information needed, follow up on gaps and keep you informed without making you manage the back-and-forth.

To build a responsible transition plan, we work with you to identify:

  • Your locations, employees and business-critical systems
  • The software and technology vendors your employees depend on
  • Available administrator access and documentation
  • Your current agreement’s end date and notice requirements
  • One person authorized to approve changes and answer business questions

Timeline and budget

Know what happens before the handoff begins.

How long does a transition take?

Timing depends on the number of employees, locations, systems and the condition of the existing documentation. After the initial review, we provide a written transition plan showing the sequence, responsibilities and expected timeline before the handoff begins.

What should you budget?

We review your employees, locations and support needs before providing a written scope and monthly estimate. For planning context, see the factors that affect managed IT pricing in Northern Virginia.

Common questions

Before you make a decision.

Do I need to notify my current provider before speaking with Pronto Tech?

No. An initial conversation can stay confidential. We can help you understand likely transition requirements before you decide how to proceed.

Who communicates with my current IT provider during the transition?

After you approve the switch and notify your current provider, Pronto Tech manages the day-to-day transition communication. We request the credentials, documentation and vendor information needed, follow up on missing items and bring you in when a decision or authorization requires your attention.

What if documentation or passwords are missing?

We identify missing access early, work through available recovery paths and coordinate requests with authorized contacts. The required steps depend on how each account and system was originally configured.

Does Pronto Tech require a long-term contract?

No. Pronto Tech does not use a long-term agreement to hold a dissatisfied client in place. The working relationship should continue because the service remains valuable.

What if we are still under contract?

You can request a second opinion before the agreement ends. We can help you identify the information needed for a transition and plan around the dates and notice requirements you provide.

Will employees notice the change?

We plan transition work to reduce disruption and communicate changes that affect employees. New support instructions, security steps or sign-in requirements are explained before they take effect.

Can you review our situation before we commit?

Yes. Request a confidential second opinion and tell us what is not working. We will discuss the environment, immediate concerns and the information needed to plan a responsible change.
